Service agreement template for visits that keep coming back.

If you go back to the same customer on a schedule, gutters every spring and fall, a monthly exterior wash, a quarterly filter change, you need a page that says what you do, how often, for how much, and how either side gets out. This one works for any trade; edit the scope to match yours.

The agreement

1. Services. We will provide: [describe the work done at each visit, in plain words]. Anything not listed here is not included and will be quoted before we do it.

2. Visit schedule. [Weekly / every 2 weeks / monthly / every (number) months / in (months)], starting [date]. We will [contact you to confirm each visit / come on the regular day without a call]. We may move a visit by up to [number] days to keep our schedule running.

3. Price. $[amount] per [visit / month / season / year]. [Materials or supplies, if any: included / billed as used.] We will give you [number] days' written notice before any price change.

4. Payment. Billed [after each visit / at the start of each month / in full at signing], due within [number] days by [card / check / (other)]. Past-due accounts may be paused until paid. [A late fee of (amount) applies after (number) days, where allowed.]

5. Access. You will give us access to [areas] on visit days, keep pets secured, and tell us about anything on the property that could be damaged or is a hazard. If we can't get in on a scheduled visit, [it is billed at (amount) / we will reschedule once].

6. Weather. Visits that can't be done safely or properly because of weather will be moved to the next open day. This does not change the price.

7. Changes. Changes to the services, schedule or price must be agreed in writing (email is fine).

8. Term and cancellation. This agreement starts on [date] and runs [for (number) months / until either of us cancels]. Either of us may cancel with [number] days' written notice. Visits done up to the cancellation date are billed. [Prepaid amounts for visits not done are refunded.]

9. Liability and insurance. We carry [general liability insurance]. We will repair or pay for damage we cause through our own negligence. We are not responsible for conditions that existed before our work, normal wear, or damage caused by weather or by others. Except where the law in [State] doesn't allow it, our liability is limited to the amount paid for the affected visit.

10. Whole agreement. This is the whole agreement between us about these services. If any part can't be enforced, the rest still applies.

Common questions

Is a service agreement the same as a maintenance agreement?

People use the names for the same thing: a written deal for repeat visits. Trade versions exist for HVAC, pool service, lawn care, pest control and house cleaning.

Can customers sign this in Redline?

No. Redline doesn't have e-signatures or a customer portal. Print this, or copy it into the document tool you already use for signatures.

Should it renew automatically?

That's a business choice with legal strings: some states have specific rules for automatic renewals with consumers. If you renew automatically, check those rules when you have the agreement reviewed.
