Pool service agreement for the whole season.

Weekly pool customers argue about three things: whether chemicals were included, who pays when the pool turns green after a week of rain, and why the gate was left open. Settle all three in writing before the first visit.

The agreement

Pool Service Agreement between [Your Company] ("we") and [Customer Name] ("you") for the pool at [Service Address]. Pool: approx. [gallons] gallons, [plaster / vinyl / fiberglass], [sand / cartridge / DE] filter, [chlorine / salt] system.

1. Season and visits. Weekly service from [start date] to [end date], on [day of week]. If a holiday or weather moves a visit, we will service the pool within [number] days of the regular day. Openings and closings are not part of weekly service and are priced separately.

2. Each visit includes. Skim the surface, brush walls, steps and tile line, vacuum as needed, empty skimmer and pump baskets, test the water, add chemicals to keep it balanced, check filter pressure and backwash or clean the filter when needed, and look over the pump, filter and heater for visible problems. We will leave a note of the readings and anything you need to know.

3. Chemicals. [Routine chlorine and pH chemicals are included in the price. / Chemicals are billed as used at our posted prices.] Specialty treatments such as algaecide, phosphate remover, stain treatments, salt and stabilizer are billed separately.

4. Price and payment. $[amount] per [visit / month], billed [after each visit / at the start of each month], due within [number] days. A visit we can't complete because we couldn't get in is billed at [full / half] price.

5. Green pools and storms. If the pool turns green or cloudy because of heavy rain, storms, pollen, a power outage, the pump being turned off, or heavy use, the cleanup (extra visits, shock, algaecide, filter cleaning) is billed separately at $[rate]. We will tell you before we start.

6. Your part. Keep the water level at the middle of the skimmer opening, keep the pump running at least [number] hours a day, keep power on to the equipment, and tell us about any leaks, new equipment or anyone else adding chemicals.

7. Access and safety. You will give us access through [gate] on service day. Dogs and other pets must be inside or secured. We will close and latch the gate when we leave. We do not supervise swimmers. Wait [number] hours after a chemical treatment before swimming, or as the label says.

8. Repairs. Equipment repairs and replacement parts are not included. We will quote them first, except small parts under $[amount] (such as O-rings and gauges), which we may replace and bill.

9. Cancellation. Either of us may end this agreement with [number] days' written notice. Visits done up to that date are billed.

10. Liability. We are not responsible for the condition of equipment, plaster, liners or tile due to age or wear, or for damage caused by weather or events outside our control. Our liability is limited to the amount paid for the affected visit, except where the law in [State] does not allow that limit.

  • What a weekly visit includes, and that openings and closings aren't part of it

  • Gate, dog and swimmer rules, water level and pump hours as the customer's part

Running the season in Redline

Once she signs, book the first Tuesday and repeat it every week through the season end date. A series holds up to 52 visits, so a full year fits too. Name the cadence once ("Weekly pool, Tuesday") and save it as one of your 20 presets. Openings and closings go on as their own visits so they don't get lost in the series.

Billing stays in your hands. On Solo ($29 a month), invoice each visit or the whole month by chat as one amount that covers the chemicals used and any cleanup, and send the card pay link from your Gmail. Redline won't bill the season by itself, and it doesn't send the customer reminders.
