Pool service invoicing

Same monthly rate. Different extras every pool.

Sixty pools at month end, each with its own rate, half with chemicals included, and a different pile of extras on every one: two bags of shock here, a skimmer basket there. Redline remembers the rates and builds each invoice from the extras you tell it.

Month-end billing for a pool route

  1. Tell Redline each pool's deal once

    "Ortega is $160 a month, chemicals included." "Haskins is $140, chemicals billed extra." It remembers, so you never repeat it.

  2. Collect the extras from the techs

    On Team and up, techs drop extras in the job's crew thread ("Haskins, 2 bags shock, new basket") or snap the supply house receipt in their app.

  3. Draft the month by message

    Give Redline each pool and its extras. It drafts one invoice per customer: one amount covering the monthly service and the extras, with each extra named in the description.

  4. Repairs go separately

    A pump motor or a heater repair was quoted on its own, so bill it on its own. If you took a deposit, give Redline the balance; it doesn't take the deposit off by itself.

  5. Chase the few

    Most pay on the link. The overdue alerts at day 3, 7 and 14 tell you who didn't, and "who owes me?" lists them any time.

What goes on a monthly pool invoice

  • The month's service at the customer's rate, with "chemicals included" when they are
  • Extra chemicals by the bag, tab or gallon: shock, tabs, acid, stabilizer, salt
  • Parts swapped on a regular visit: baskets, o-rings, gauges
  • Extra work: filter cleans, green-pool treatment, an extra visit after a storm
  • Repairs on their own invoice, not buried in the monthly

Where pool money disappears

On a chemicals-included pool, the risk is a pool that eats three times the chlorine and nobody notices. On a chemicals-extra pool, it's the tech who added a bag of shock and forgot to say. Either way, the money is in the extras, and the extras are in the tech's head.

Getting them written down during the week, in the job thread or as a receipt filed against the pool, is the fix. Then month end is reading back what was used and telling Redline. If a pool keeps costing more than it pays, Reports shows profit per job after the receipts you filed, so you know whose rate to raise.

Questions contractors ask

Can I bill the same price every month without retyping it?

Yes. Once Redline knows the rate, "invoice Delmar for June" is enough. Each invoice is still one you approve, because there's no autopay.

How do I bill openings and closings?

Each one is a single visit with its own invoice: the opening or closing, start-up or winterizing chemicals, and any parts. Keep them off the monthly service invoice.

I run a route alone. Do I need Team?

No. Solo at $29 a month covers invoicing and card payments for you. Team is for when techs need the app and the crew thread.
