Price increase email, for the customers you want to keep.

Your mowing, cleaning, pool and maintenance-plan customers are the steady part of the business. Give them notice, the number, one honest reason and a person to call. Then bill the new rate on the date you said.

Rate change for a recurring service

For weekly or monthly visits: mowing, house cleaning, pool service, pest control.

Hi [Customer first name],

Thank you for [how long, e.g. three seasons] of [service, e.g. weekly mowing]. I'm writing ahead of time to let you know that starting [Effective date], your rate will go from [Old rate] to [New rate] [per visit / per month].

[One honest reason, e.g. Fuel, dump fees and insurance have all gone up, and I haven't changed my prices since [Year].]

Nothing else changes: [what stays the same, e.g. same Tuesday visits, same crew, clippings bagged and hauled].

If you have questions, or want to talk about [a lower-cost option, e.g. switching to every other week in the summer], call me at [Phone]. I'd rather work something out than lose you.

Maintenance plan renewal at a new price

For yearly plans: HVAC tune-up plans, generator service, septic pumping, gutter plans.

Your [Plan name] comes up for renewal on [Renewal date]. For [Year], the plan will be [New price], up from [Old price]. It still includes [what's included, e.g. a spring AC tune-up, a fall heating tune-up and [Discount] off repairs].

To renew, just reply "renew" and I'll book your first visit. If you'd like to talk it over first, I'm at [Phone].

When to send it

  • If you have a written service agreement, follow its notice terms. If you don't, give at least one full billing cycle of notice
  • Before the season starts, or at plan renewal. Not halfway through a month they've already planned around
  • Never on the same day as an invoice. Send the notice first, then bill the new rate after the date you gave

What to change

  • Give one reason, not five. A paragraph of excuses reads like an apology for something you don't need to apologize for
  • Show the old rate and the new one, and say per visit or per month. Don't make them work out the difference
  • Offer a real way to keep the bill down: every other week, a smaller scope, a different day
  • If you're keeping your longest customers at the old rate for a season, say so. It's a reason to stay

Each notice is its own draft you approve. Redline remembers the new rate, but it never bills or emails a customer on its own.

After the email: the new rate in Redline

Redline saves your prices as you mention them, without being asked, so the new mowing rate is there for the next quote or invoice you have it draft. You'll see a small "Remembered" line under the reply, and you can change or delete it in Settings, under Memory. See memory.

Recurring visits live on your calendar as a repeating series. Billing them is still an invoice you send (Solo and up): there's no automatic recurring billing, so the new price shows up on the first invoice you send after the date you gave. See recurring jobs.

Questions contractors ask

Can I send the notice to all my route customers at once?

No. Redline isn't a bulk email tool. Ask for the next draft and approve each one, which takes a minute per customer and lets you adjust the note for the ones who get a break.

Does Redline charge recurring customers automatically?

No. Redline schedules the repeating visits, but each invoice is one you send, and the customer pays by card on its pay link. Invoicing is on Solo.

Does Redline text the notice?

No. Redline doesn't text. The notice goes as an email from your own Gmail, and any reply lands in your inbox.
