Pest control invoicing

Bill the initial. Log the free callback.

A pest account bills four different ways in its first year: a bigger initial service, a quarterly price after that, a no-charge re-service when the ants come back, and maybe a termite renewal on top. Redline drafts the ones you charge for and keeps a record of the ones you don't.

Billing a pest account through the year

  1. Tell Redline your plan prices once

"Initial is $199, quarterly is $129, termite renewal is $325 a year." It remembers them and uses them every time.

  2. Invoice the initial on the day

Finish the initial service, say so, and the invoice is drafted. Approve it, copy the card pay link from the invoice, and the customer can pay on their phone before you leave the driveway.

  3. Quarterly, or the year up front

Invoice each quarterly visit as it's done, or bill the year as one invoice if the customer wants to prepay. Your choice per customer, kept in their notes.

  4. Log the re-service, don't bill it

"Log a no-charge re-service at Ferraro, ants in the kitchen." It's on their file, so you can see which accounts keep calling back.

  5. Renewals on the right day

Set a date reminder for each termite renewal. When it comes up in your morning push, one message drafts the invoice.

An initial and a renewal

Initial service done at the Ferraros, interior and exterior, 6 bait stations set in the garage. Invoice it. Their quarterly starts in January.
Redline

Draft for Lucia Ferraro: $289, "Initial general pest service, interior and exterior, plus 6 rodent bait stations" ($199 initial, 6 stations at $15). Approve?

I've noted on her file that quarterly service at $129 starts in January.

Approve. Then bill the Lindqvist termite renewal, it's due today.
Redline

Ferraro's pay link is live. Draft for Erik Lindqvist: annual termite warranty renewal $325. Approve?

Invoices are on Solo ($29 a month) and up. Reminders arrive in the iPhone app's morning push. Example prices only.

How pest accounts usually bill

Account typeWhat gets invoicedWhen
Residential quarterlyInitial service, then each quarterly visitOn the day of each visit
Residential prepaidInitial, then one invoice for the yearAt signing, then yearly
Commercial monthlyThe month's visits as one amount, dates in the descriptionEnd of the month
TermiteTreatment (often with a deposit), then the renewalTreatment day, then each year
Re-service under the planNothing. Logged as a note on the fileWhen it happens

Examples. Your agreements set the real terms.

The free visits are worth tracking too

Re-services are part of the deal, but some accounts burn through them. When each one is logged on the customer's file, you can see the house that's had four callbacks this summer, and that's a conversation about exclusion work or a different plan, not another free trip.

The paid side is simple once your prices are remembered. Redline doesn't run autopay or bill quarters by itself, so each invoice is one you approve. For a route of a few hundred accounts, that means a reminder and a few messages at the end of each day, not a stack of paper at month end.

Straight answers on pest billing

Redline does

  • Remember initial, quarterly and renewal prices
  • Invoice on the day of service with a card pay link
  • Log no-charge re-services on the customer's file
  • Remind you when termite renewals are due
  • Flag unpaid invoices at day 3, 7 and 14

Redline doesn't

  • Run autopay or charge a card on file
  • Bill quarterly plans by itself
  • Keep chemical application records
  • Take bank transfers on the pay link (card only)
  • Send renewal notices to customers on its own

Questions contractors ask

Can a tech take payment in the field?

Techs never see money in their app. The owner or office sends the invoice, and the customer pays by card on the link. Many shops invoice from the office at the end of the day.

How do I bill a restaurant's monthly service?

One invoice per month, with the visit dates in its one-line description. Say "invoice Bella's Kitchen for October, 4 visits at $95, on the 2nd, 9th, 16th and 23rd" and approve the $380.

Can I see who hasn't paid this quarter?

Ask "who owes me?" and you get the unpaid list with totals. With chasing on, overdue ones are flagged and pushed to your phone.
