Every agreement customer, seen twice a year.
Selling a maintenance plan is the easy part. Getting 150 customers through a spring check and a fall check without missing anyone is the work. Redline books the whole agreement in one save and reminds you when it's up for renewal.
Setting up an agreement customer
Find the first tune-up
Ask the chat to "find a time for Okafor's spring tune-up the week of April 12". Redline offers open slots near your other visits in Westfield. The chat books single visits, so this slot is where the series starts.
Make it repeat every 6 months
In the calendar's Add event, pick that slot and set a custom repeat: every 6 months, ending after a set number of visits or on the agreement's end date. One save puts every spring and fall visit on the calendar.
Save the cadence as a preset
Name it "Comfort plan" with the visit length and kind, and the next agreement customer is one tap. You can keep up to 20 presets, say a 1-system and a 2-system plan.
Set the renewal reminder
"Remind me next March 30 to renew Okafor's agreement." Reminders can be up to a year out and show up in that day's morning push on the iPhone app.
Invoice the way you sold it
Bill the agreement up front, or each visit as it's done, by chat. Invoicing is on Solo and up. Redline doesn't bill agreements on its own.
Signing up a plan customer
Tuesday April 13 at 9:00 is open, right before the Pruitt visit, also in Westfield.
I've also drafted the invoice: $189, "Comfort plan, 1 system, 1 year." Approve and the pay link goes live.
Pay link's live. For the visits, open Add event on April 13 at 9:00 and tap your Comfort plan preset: one save books this tune-up, the fall check and the years after. Reminder set for March 30.
Booking and reminders are on every plan. The invoice needs Solo and up. Example prices only.
Where each piece of an agreement lives
| Agreement piece | In Redline |
|---|---|
| Two visits a year | One repeating series, every 6 months, each visit movable on its own |
| Plan name and price | Remembered once you say it, used on every quote and invoice after |
| Which tech goes | Assigned on the dispatch board or by chat (Team and up) |
| What gets checked | Your checklist in the job notes, which the tech sees in the app |
| Payment | One invoice for the year, or one per visit, with a card pay link (Solo and up) |
| Renewal | A date reminder in your morning push, up to a year ahead |
A single series holds up to 52 visits, which is decades of twice-a-year tune-ups.
The spring scramble
A lot of shops track agreements on a spreadsheet, then spend March calling down the list to book spring checks while the phone rings with early no-cools. The visits that slip are the customers who already paid, which is the worst place to drop the ball.
With every agreement booked as a series, spring is already on the calendar. When you need to tighten a week, Optimize proposes moves that put visits in the same town together, and you apply them one at a time or all at once.
Straight answers on agreements
Redline does
- Book twice-a-year tune-ups as one repeating series
- Save named plan cadences as presets
- Remind you about renewals in the morning push
- Invoice the plan or each visit by chat (Solo and up)
- Group visits by town when you tighten up a week
Redline doesn't
- Charge agreement customers automatically or run autopay
- Track member pricing tiers or discounts per customer
- Send filter-change or tune-up reminders to customers
- Create a repeating series straight from the chat
- Sync visits to Google, Apple or Outlook calendars
Questions contractors ask
Can the visits go spring and fall instead of every 6 months exactly?
Set the series every 6 months starting on the spring visit, then move any single visit when it suits. Moving one doesn't touch the rest of the series.
Is there a list of everyone on a plan?
Not a separate membership list. The agreement lives as the repeating visits on the calendar, so put the plan name and renewal month in the customer's notes too. That keeps it on their file when you or the chat look them up.
Do customers get a reminder before the visit?
Not automatically. Redline can draft a reminder email for you to send from your Gmail, and calling is one tap from the contact. Redline doesn't text.
What plan do I need?
Repeating visits and reminders are on Free. Invoicing the agreement is on Solo at $29 a month. Assigning visits to techs is on Team at $129 a month.
