  1. Shoot the data plate

    On every call, a photo of the data plate goes on the customer's file. Model, serial and age are on it, and it's there for the next call too.

  2. Old equipment becomes a Lead

    "Add a replacement lead for the Barretts: 2004 furnace, rusted burners, R-22 AC." Redline proposes a job in the Lead column and logs the details as a note on their file. You confirm.

  3. Pick when to call

    A date reminder for the shoulder season ("remind me March 3 to call the Barretts") lands in your morning push that day.

What an HVAC customer file holds

Equipment photos

Data plates, the filter size, the disconnect, the flue. On the contact's Notes tab, so any tech starts with a picture of what's in the basement.

Every visit and invoice

Tune-ups, service calls and what was paid, on the Activity, Jobs and Invoices tabs. The history makes the replacement conversation easier.

Agreement customers

Their tune-ups repeat on the calendar. When a tech flags aging equipment on an agreement visit, that's the warmest replacement lead you have. See maintenance agreements.

Quotes still out

Days in Quoted show on every pipeline card, amber at 7 and red at 14. Ask "any changeout quotes still out?" and Redline lists them with totals.

Sell replacements in the slow season

In a heat wave, nobody has time to sell. The service calls pile up, the techs see a dozen units that should be replaced, and by the time things calm down, nobody remembers which houses they were. The customer replaces it in an emergency next summer, with whoever answers the phone.

A lead in the pipeline with the data plate attached and a reminder in March changes that. In the shoulder season you call homeowners who already know you, about equipment you've already seen, before it fails. Redline doesn't predict failures or score leads. It just makes sure the list exists.

Techs work from the tech app, where they can leave a note in the job's crew chat thread ("Barrett furnace is a 2004, burners rusted"). The owner or office turns those into leads, which keeps the sales list in one set of hands.

Will Redline read the data plate photo?

It reads the photos you send in the chat, so it can pull the model off a clear data plate. Check what it read before you rely on it.

Can I quote the replacement on the spot?

Yes, if they want numbers now. Send the data plate photo and have Redline draft a quote per tier; quotes are free on every plan. Billing the deposit needs Solo at $29 a month.
