What this template covers

  • The scope as numbered tasks with quantities, so the tech knows when they're done
  • Check: lines at $0 for the things that get looked at, not billed, but still have to be done
  • Parts and materials on the same lines as the work, so nothing gets left at the shop
  • Access and a not-to-exceed amount, two things techs call the office about all the time
  • A notes line and a sign-off with time in and out

Doing it in Redline

In Redline the work order is the job itself. Its notes show up on the tech's phone as office notes, next to a checklist they tick off (before photos, the job, after photos) and a Mark done button. On Team ($129 a month for 3 seats) you dispatch it by chat, "put Joey on the 2B turnover", and the crew board, calendar and his phone all update. He can snap the receipt for the alarms in the tech app and ask questions in that job's chat thread.

Techs never see prices in Redline, so the tech's copy stays a tech's copy. There's no parts catalog or inventory, and status is what the tech taps (En route, On job), not GPS. Common questions

What's the difference between a work order and an invoice?

The work order says what to do and goes with the tech. The invoice says what's owed and goes to the customer. Some shops have the customer sign the work order on site, then bill from it.

Should the work order show prices?

Up to you. Some shops print the tech's copy without them. In this template, set any rate to 0 and the line stays as a task. In Redline, techs never see money at all.

Can Redline print work orders?

No, there's no printable work order in Redline. The tech works from the job on their phone. Use this template when you need paper.
