Job done. Thanks, and here's the invoice.
The day you finish is the day the customer is happiest with you. Send the invoice then, inside a real thank-you that says what you did, how to look after it and how to pay.
Thank-you with the invoice
Send it the same day, before you leave the driveway or that evening. Not at the end of the month with a stack of others.
Subject: Thank you, [Customer first name]: your [job type] is done
Hi [Customer first name],
Thanks for having us out to [the job, e.g. replace the main drain line]. Here's a quick wrap-up: [What was done, e.g. Replaced 40 feet of cast iron with PVC, from the basement cleanout to the street] [Anything you found and fixed along the way] [Anything still open, e.g. Town inspection is set for [Date]]
Your invoice for [Amount] is ready. You can pay by card here: [Pay link] It's due by [Due date].
To keep it in good shape: [one or two care tips for this job, e.g. keep the cleanout cap clear and easy to reach].
Your work is covered by [your warranty terms, e.g. a [Length] workmanship warranty]. If anything doesn't look right, call me at [Phone] before you call anyone else.
Thanks again, [Your name] [Company]
Click any text to change it. Fill in the parts in [brackets] before you send.
What to change
- Write the wrap-up in their words. "New pipe from the basement to the street" beats "replaced 4 inch sewer lateral"
- List anything you found along the way, even if it was small. It shows the extra care, and it backs up any extra line on the invoice
- Keep the care tips to one or two that matter for this job, like "don't walk on the new sod for two weeks" or "let the caulk cure 24 hours before showering"
- Copy your warranty terms from your estimate, so they match exactly
- Leave out the invoice paragraph if you've already been paid on the spot
Invoice and thank-you in one go
Here's the invoice for Claire Dubois: main drain line replacement, $4,850, due in 14 days.
Subject: Thank you, Claire: your drain line is done
Hi Claire, thanks for having us out. We replaced 40 feet of cast iron with PVC from the basement cleanout to the street, and the town inspection is set for the 14th. Your invoice for $4,850 is ready, and you can pay by card here: [pay link].
Thanks again, Joe
Approve the invoice first so the pay link goes live, copy it into the email with Edit, then tap Approve & send.
The email is logged on Claire's file. If the invoice is still unpaid, it gets flagged at day 3, 7 and 14, and you get a push on the iPhone app saying who to call.
Invoices and pay links are on Solo. Overdue alerts go to you, not to Claire, and Redline never texts her.
From done to paid in Redline
The job lands in Ready to bill
Finished jobs show up in Money, ready to invoice. One tap, or one message like the one above.
You approve the invoice and the email
The card pay link goes live and the thank-you goes out from your own Gmail, logged on the customer's file. See invoicing.
They pay by card
The money goes to your own Stripe account. The page they paid on becomes their receipt, and the iPhone app tells you when it comes in.
If they don't, you hear about it
At day 3, 7 and 14 after you sent it, Redline flags the invoice and pushes you who to call. The customer only gets a reminder if you send one. See overdue invoice alerts.
Questions contractors ask
Does Redline email a receipt after they pay?
Redline doesn't send a receipt email. The pay page they paid on becomes their receipt. If they want something more for their records, send a short email with the paid invoice details.
Can I send the thank-you without the invoice?
Yes, on any plan. Drafting and sending email from your Gmail is on Free. Leave out the invoice paragraph. Invoices and card pay links need Solo.
When should I ask for a review?
Not in this email. Ask once they've paid and told you they're happy. The review request email is short and built for that moment.
Finish the job, send the invoice, go home.
Solo turns a finished job into a card pay link and drafts the thank-you to go with it. Start free, with a 7-day trial of Solo on the web.
