Appointment confirmation email, with the gate code.
The wasted trip you can prevent is the one where nobody's home, the side gate is locked or the dog is loose in the yard. Confirm the day before, with the arrival window and the access questions in one short email.
Service visit or estimate confirmation
Subject: Confirmed: [Visit type] on [Day, Date], [Arrival window]
Hi [Customer first name],
You're confirmed for [visit type, e.g. your furnace tune-up, or the roof estimate] on [Day, Date]. [Tech name] will arrive between [Start time] and [End time] at [Job address].
A few things that help the visit go quickly: [Access, e.g. the furnace is in the basement, so please clear a path to it] [Gate code, or where to park the truck] [Pets, e.g. please keep dogs inside while we're in the yard] [Anything to have ready, e.g. the model number of your current unit]
The visit is [price, or "free"], [when and how it's paid, e.g. paid by card at the end of the visit].
If the time doesn't work anymore, reply here or call [Phone] and we'll find another one.
Thanks, [Your name] [Company]

When to send it
| Visit | Send it | Why |
|---|---|---|
| Service call or tune-up | The afternoon before | Late enough that plans are set, early enough to fill the slot if they cancel |
| Estimate visit | 2 to 3 days ahead | Gives both decision makers time to arrange to be home |
| Booked more than a week out | At booking, and again the day before | The first one goes in their inbox, the second one gets read |
| Install or multi-day job | 2 to 3 days ahead | Room to move cars, clear the garage and plan around noise and water shutoffs |
What to change
- Give an arrival window, not an exact time, unless you can really hold it
- Name the tech. A name on the email makes the knock on the door feel expected
- Delete the access lines that don't apply. Four irrelevant questions get none answered
- For estimates, ask that everyone who decides be home. It saves a second visit
- Put the date and window in the subject so they can find it again in a hurry
Confirmation from the calendar entry
Subject: Confirmed: AC tune-up Wednesday, 8 to 10am
Hi Ray, you're confirmed for your AC tune-up tomorrow, Wednesday. Marco will arrive between 8 and 10am at 41 Lowell St. The condenser is out back, so please unlock the side gate and keep the dog inside. The tune-up is $149, paid by card at the end of the visit.
Thanks, Dana
I took the address from his file and the price from your saved tune-up rate. Tap Approve & send to email it from your Gmail.
Redline drafts it, you approve it, it goes from your Gmail. It never texts and never sends confirmations on its own.
Booking it tells your calendar, not your customer
When you book a visit in Redline, it lands on your calendar with the address, kind and notes, and on Team plans it shows up on the tech's phone. The customer isn't told anything. Redline doesn't send automatic appointment reminders, doesn't text, and its calendar doesn't sync to Google, Apple or Outlook. The confirmation is an email you ask for and approve, from your own Gmail, logged on the customer's file. See scheduling and email from your Gmail.
The visit details pull from what Redline already knows: the address on the contact, the arrival window you give it, and prices it has remembered, like your tune-up rate. If you run a crew, the dispatch board shows who's going where.
Questions contractors ask
Does Redline remind customers about appointments?
No. There are no automatic customer reminders and no texts. You send a confirmation email when you want one, and you can ask for several in a row, one draft at a time.
Will the customer get a calendar invite?
No, it's a plain email. That's why the date and arrival window go in the subject line, where they're easy to find.
Which plan do I need?
Free. The calendar, contacts and Gmail sending are all on the Free plan. Assigning visits to techs is on Team and up.
Your calendar and your confirmations, in one chat.
Redline is free to start. Book the visit, then have it draft the confirmation from the details it already has.
